When to Host Your Summer Retreat?
The first question isn’t the date, but the day of the week. Do you prefer a weekend or a weekday?
Friday–Saturday (F–S)
This is the most popular choice, but also the most booked. Early reservations are essential – ideally with two backup dates to stay flexible.
Sunday–Thursday (S–Th)
We highly recommend considering midweek retreats. There’s more availability, better pricing, and easier access to services. If your timing aligns, our Kalju-lava concerts can add something truly special – especially for smaller teams or seminar-style events.
Who’s Coming, and How Will It Be Structured?
Will you invite the entire company or just a department? The number of participants will determine many things – space, food, accommodation, and the scale of activities. If you’re unsure, send out a quick survey to gauge interest. A symbolic participation fee (e.g., €5) can help secure more committed registrations.
It’s important to confirm your final guest list at least 3–5 days before the event (earlier for larger groups). This is especially important for planning food and activities.
Accommodation or Day-Only Company Summer Retreat?
One-day retreats are ideal for teams with families:
- Guests return home by evening
- Less logistics to manage
- Family-friendly and flexible
Overnight retreats (1–2 nights) offer:
- More time to relax and connect
- Deeper team bonding
- A true holiday atmosphere

For family-friendly events, a two-day format is perfect. The most common option is arrival on the first day and departure the next morning.

Catering at your Company Summer Retreat – A Key Part of the Experience
Great food makes a great event even better. At Kallaste, all meals are freshly prepared on-site, using quality ingredients and tailored specifically for your group.
Here are a few things to keep in mind:
- Place orders at least 7 days in advance
- Let us know about dietary needs (e.g., vegetarian, allergies) early on
- People eat more when they’re outdoors – plan accordingly
- Avoid last-minute changes – these may not reach the kitchen in time
- Knowing the ratio of men to women helps estimate food quantities
Experience shows: it’s better to have a little too much food than not enough!
